CoPlan Privacy Policy

Effective date: 6 October 2026

CoPlan ("we", "us", "the app") is a co-parenting coordination app. This policy explains what information CoPlan collects, how it's used, and how it's stored.

Who this policy covers

CoPlan's users are the parents/guardians who coordinate custody schedules, requests, and shared expenses through the app. CoPlan is not directed at children and children do not directly use the app — but, as explained below, some information about children is entered by a parent/guardian for the scheduling feature to work.

Information we collect

Account: email address and password (hashed) — for sign-in and account management.

Household data: custody schedule and handover/pickup requests — the core app function of coordinating parenting time.

Child information: a child's name and an assigned display colour — so the schedule/calendar can show which child an event relates to.

Shared expenses: expense amounts, descriptions, and receipt photos — for tracking and splitting shared costs between co-parents.

Subscription status: your household's premium/trial status via Google Play Billing — CoPlan never sees or stores your card details; Google processes the payment.

Push notifications: your device's push token (Firebase Cloud Messaging) — for delivering reminders and updates about the schedule or requests.

We do not collect precise or approximate location, and we do not use advertising or analytics SDKs.

Children's information

CoPlan is used by parents/guardians, who may enter their children's names as part of setting up a household schedule. This information is provided and controlled by the parent/guardian, not by the child, and is used solely to operate the scheduling feature. We do not knowingly allow children to create accounts or use the app directly, and we encourage parents to avoid entering more than a child's first name or sensitive identifying details (such as a school name or home address) in free-text fields.

Where your data is stored

CoPlan is self-hosted: all account, schedule, and expense data lives on our own server infrastructure, not a third-party cloud database. All traffic between the app and our server is encrypted in transit (HTTPS). Two third-party processors touch a narrow slice of data on our behalf: Firebase Cloud Messaging (Google) delivers push notifications using only your device's notification token, and Google Play Billing processes subscription payments — CoPlan never receives or stores your card details. Neither is used for advertising, and we do not sell your data to anyone.

Data retention & deletion

Data is retained for as long as your household account is active. You can request deletion of your account and personal data at any time — see our account & data deletion page for exactly what happens and how long it takes (within 30 days of a verified request). Some information may be retained longer where required by law — for example, payment records required by South African tax law — for the minimum period the law requires.

Your rights

Depending on where you live, you may have rights under data protection law — including South Africa's Protection of Personal Information Act (POPIA) and, for EU-based users, the GDPR — to access, correct, or request deletion of your personal data, to object to or restrict certain processing, and to lodge a complaint with your local data protection authority (in South Africa, the Information Regulator). To exercise any of these rights, contact us using the details below.

Security

We encrypt all data in transit (HTTPS) between the app and our servers. Access to the underlying server is restricted to the household members and administrators who need it to operate the service.

Changes to this policy

We may update this policy from time to time. Material changes will be communicated via the app or by email.
